How website and enquiry information is handled.
A scoped notice for the public SGS website and ordinary business enquiries.
Who we are
SEK Group Services Limited (company number 14305088), registered office 65 Black Bull Road, Folkestone, England, CT19 5QT, is the data controller for personal information it receives through this public website and its ordinary SGS business enquiries.
For privacy enquiries or to exercise your data protection rights, contact info@sekgroupservices.net.
Information we collect
- Your name, business or organisation, contact details and correspondence.
- Information you choose to provide when requesting help, such as details of a technical issue or premises.
- Necessary website access and security information processed by our hosting arrangements, such as IP addresses and request logs.
Why we use it and our lawful bases
- Responding to enquiries and maintaining business correspondence: our legitimate interests in operating and communicating about SGS services, or taking steps at your request before entering into a contract where appropriate.
- Providing contracted services and managing client relationships: performance of a contract where applicable, and our legitimate interests in managing business-to-business relationships.
- Accounting and mandatory records: compliance with applicable legal obligations.
- Protecting the website and handling misuse: our legitimate interests in protecting our systems and preventing abuse.
We do not treat a general enquiry as consent to receive marketing emails. Any future direct marketing arrangements will be separately assessed against data protection and electronic marketing rules.
Protecting enquiry forms
Our two enquiry forms use Cloudflare Turnstile to help identify automated misuse. Cloudflare may process technical and security information about your device, browser and connection, including your IP address, to provide this service. The form also uses a short-lived signed value and a limited, server-side record of submission attempts for abuse prevention. We use these safeguards for our legitimate interest in protecting the website and its enquiry facilities. See Cloudflare's Privacy Policy for its own privacy information.
Who receives information
Our website hosting, email and security providers, including Cloudflare for Turnstile verification, process relevant information as needed to operate the site, protect the enquiry facilities and handle enquiries. We may share relevant enquiry details with an independent specialist when you request or agree to an introduction. We may also disclose information where required by law. We do not sell personal information.
How long we keep it
General enquiries that do not lead to work will normally be retained for up to 12 months after the last substantive contact, unless a legitimate reason requires a different period. Records associated with contracted services, financial obligations or disputes are kept according to the relevant purpose and legal requirements. Our local enquiry rate-limit records are checked hourly for cleanup and deleted once they are more than 24 hours old. Our Apache website access and error logs are rotated weekly, with four previous rotations retained. Our hosting provider maintains automatic server backups for recovery purposes. Information removed from the live server may remain in those backups until the applicable backup retention period expires.
Your rights
Subject to applicable conditions and exemptions, you may request access to your information, correction, erasure, restriction of processing, or object to processing based on legitimate interests. In relevant circumstances you may also have rights to data portability and to withdraw consent where consent is relied upon.
Complaints
Please contact SGS first if you have concerns. You can also raise a complaint with the UK Information Commissioner's Office (ICO) through ico.org.uk.
